Appointments & Cancellations
At Vivo Body Studio, our certified staff follow strict treatment protocols, which means we cannot guarantee specific team members for ongoing sessions.

Consultations are recorded to ensure safety for our staff and clients and to comply with insurance regulations. Client visuals will not be captured or saved, and all consultation records are managed in accordance with our privacy policy and data protection laws, with regular deletions each week.

If you are unable to attend your scheduled appointment, we require a minimum of 48 hours’ notice. A reminder email will be sent to you 72 hours before your appointment, allowing you a day to contact us if you need to reschedule. If the notice is not provided, your deposit will be forfeited, and a new deposit will be necessary for rebooking. Missed appointments for treatments bought as part of a course will incur charges for the session missed.

Appointments are non-transferable and cannot be exchanged with other clients.

To cancel or reschedule, please reach out to the Vivo Body Studio where you booked your appointment and speak directly with a staff member. Voicemail messages will not be accepted. For rescheduling, please call 03330124065

We recommend arriving at least 15 minutes early to complete necessary paperwork. Please ensure you fill out any consultation forms sent to you before your arrival. Incomplete forms may lead to a reduced treatment time. Arriving late could result in a shortened session or loss of your appointment, with no refunds provided and a new deposit needed for future bookings. While we strive to keep appointments on track, Vivo Body Studio reserves the right to cancel or delay appointments without prior notice due to unforeseen circumstances.

We will inform you of any preparations needed before your appointment. Not following these instructions may result in cancellation, reduced treatment time, or additional fees.

If you prepay for a treatment and later decide against it, the payment will not be refunded. However, you can apply this amount toward another treatment.

If you have prebooked appointments and become pregnant, a credit will be created on your account, valid for up to 2 years.

Payments, Deposits, and Credit Card Information
When scheduling your appointment, a non-refundable deposit is required.

This deposit will be deducted from the total cost of your treatment on the day of your appointment.

Unless you have prepaid for your treatment or course, full payment is required on the day of your appointment, either in cash or by card, after the procedure.

Payments made in advance are non-refundable unless you provide medical evidence confirming unsuitability from a GP.

Courses purchased are non-refundable and cannot be transferred.

Deposits are strictly non-refundable. If you fail to attend your appointment, the deposit will be forfeited. Similarly, if you attend a consultation but choose not to proceed with treatment, your deposit will not be refunded.

Treatment Courses
All treatments purchased as part of a course must be fully paid for before the first session.

Treatments should be used or booked within 12 months of purchase. Any remaining treatments after this period will be forfeited. Not following the recommended treatment plan and aftercare may affect results, which can vary based on individual lifestyle, diet, and medical conditions.

Suitability for Treatment
We will assess whether the treatment is suitable for you before proceeding. If deemed unsuitable, we will explain the reasons, and you will only be responsible for the initial consultation fee, if applicable.

Refusal of Treatment
We reserve the right to refuse treatment at any time. Failure to disclose medical conditions may result in treatment denial, for which you will be charged a cancellation fee.

Liability
Vivo Body Studio is not liable for any economic losses, including profit loss, or any special, indirect, or consequential damages arising from our services.

Clients must provide complete medical history and relevant medical details prior to treatment. Vivo Body Studio will not be responsible for any injuries resulting from the client’s failure to disclose this information.

By receiving treatment, clients agree to follow all care instructions provided by Vivo Body Studio. This does not limit our liability for death or personal injury resulting from negligence.

Customer Concerns
If you experience any issues with our services, please contact us via our contact form and allow up to 5 working days for a response.

Special Offers / Vouchers
Discounts cannot be combined with other promotions and apply only to RRP.

Vouchers used for bookings are non-refundable and non-transferable. Missing an appointment will result in the loss of the voucher. A minimum of 48 hours’ notice is required to reschedule voucher bookings. Management decisions are final.

Free treatments included in promotional packages are non-transferable and non-refundable, and must be utilized during the appointment. These cannot be divided across multiple appointments. If not used, the price will remain unchanged, though free treatments can be swapped for similar treatments

 

Vivo Body Studio Special Offers / Vouchers

Discounts cannot be combined with any other offers and apply only against the RRP.

When you book using a voucher, please note that it is non-refundable and non-transferable. If you fail to attend your appointment, your voucher will be forfeited. A minimum of 48 hours’ notice is required to reschedule your voucher booking. Decisions made by management are final and not subject to discussion.

Please be aware that treatments offered for free as part of promotional packages are non-transferable and non-refundable, and must be utilized during your scheduled appointment. These appointments cannot be split across multiple visits. If you choose not to receive any of the complimentary treatments, the price will remain unchanged. However, complimentary treatments can be exchanged for another equivalent treatment, which must also be completed during the same appointment. For instance, supersonic chin reductions and radiofrequency eye lifts can be swapped for:

– Radiofrequency Hands
– Radiofrequency Elbows
– Radiofrequency Chin
– Radiofrequency Neck
– Supersonic Cavitation (can target the same area as fat freeze)
– LED Light Mask

Receiving Emails / Letters From Third Party Businesses

Vivo Body Studio and its associated directors reserve the right to charge a fee for responding to letters or emails, or when providing documentation requested by third parties, such as solicitors, image agencies, government bodies, etc. This will be assessed on a case-by-case basis. Should you initiate contact, you or your company agree to these terms and conditions and accept the charges we invoice to you or the representing company, including but not limited to solicitors.

Deposits

Failure to attend your appointment will result in a charge and the loss of your deposit. Deposits are non-refundable unless you cannot proceed with treatment due to medical reasons.

Form Submissions

When you make an enquiry through our website, your details will be securely stored in our database. You may receive occasional news and offers from Vivo Body Studio, which you can opt out of at any time by clicking the link in the email. Vivo Body Studio will never share your details with third parties.

The Law

The above terms and conditions are governed by the laws of the England, Wales , Scotland and Northern Ireland.

Internal Data Policy

According to our terms and conditions, we utilize the information you provide during booking to assist you in completing your reservation. In the rare event that you encounter issues booking online, we may reach out via call or text for assistance.
